Apostille Switzerland

Responsibility, process, canton, federal government and typical Swiss peculiarities. This page explains the practice without official German and points out the most common stumbling blocks.

The normal process

First, clarify with the recipient abroad which documents, language, timeliness and form are required. Then check who issued the original signature. If there is a cantonal or municipal Swiss signature, the cantonal office is usually responsible. The Federal Chancellery may be responsible for federal signatures, Swiss embassies, foreign representations in Switzerland or cantonal state chancelleries.

Preparation before submitting

Provide the physical original, not just a scan. Write down the destination country, return address, phone number and email. If the document is private, such as a power of attorney, company signature or passport copy, it usually needs a notarial or official certification first.

Submit at the counter or by post

Some places allow counter drop-off, others operate partially or only by mail. Zurich specifically mentions counters or postal routes, Schwyz mentions counters and postal routes, and the Federal Chancellery currently mentions postal routes. Nevertheless, always ask the responsible office whether submission by post is possible and which attachments are required.

Canton or federal government: responsibility

In Switzerland, the apostille does not depend on your place of residence, but on the signature on the document. Cantonal documents, notarial certifications and many municipal confirmations are processed through the responsible state chancellery. Federal documents or certain federal signatures go through the Federal Chancellery.

Canton of issue instead of canton of residence

If a document was issued in the canton of Zurich, Zurich is generally relevant; at a Bern notary signature Bern. That sounds banal, but it prevents many rejections.

When the notary comes in front of it

Private signatures, passport copies, powers of attorney, company documents or declarations are not automatically public documents. A notary often confirms the signature or copy first. The State Chancellery then apostilles the notary’s signature.

Post office, counter and representation

Many places allow counter drop-off or postal delivery. Another person can often file, but individual agencies require evidence or authority depending on the document. The decisive factors are the original, verifiable signature, destination country and desired return.

Foreign documents for Switzerland

A foreign document is apostilled in the issuing country, not in Switzerland. An Italian birth certificate, a Canadian diploma or a Ukrainian register extract must therefore take the right route there.
